Privacy Policy

Information on the processing of personal data of participants of the public task „Polish-Czech  personal data of participants of the public task „Polish-Czech Forum for rapprochement of societies, deepened cooperation and good neighbourhood 2021”.

This notice implements the obligation set forth in Article 14 (1) and (2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC, hereinafter referred to as „RODO”.

  1. The controller, within the meaning of Article 4(7) of the RODO, of personal data is the Minister of Foreign Affairs, and the executing officer of the controller’s duties is the Director of the Department of Public and Cultural Diplomacy, based in Poland, in Warsaw at Al. J. Ch. Szucha 23.   

  2. The Minister of Foreign Affairs has appointed a Data Protection Officer (DPO) to carry out his duties with regard to data processed in the Ministry of Foreign Affairs and foreign missions.  Contact details of the DPO: address of the registered office: al.   3. Personal data will be processed by the Ministry of Foreign Affairs on the basis of Article 6(1)(c) of the RODO in order to implement the public task „Polish-Czech Forum for bringing societies closer together, enhanced cooperation and good neighbourhood 2021”, including the monitoring, control and evaluation of this task and the development of information materials (on the basis of the Act of.  4 September 1997 on government administration departments (Journal of Laws of 2020, item 1220) and in relation to obligations defined in the Act of 27 August 2009 on public finance (Journal of Laws 2021, item 305).

  4. The scope of data processed includes: first and last name,  e-mail address,

  5. The data was provided by the Contractor to the Ministry of Foreign Affairs in connection with the conclusion of an agreement for carrying out a public task entitled „Polish-Czech Forum for rapprochement of societies, deepened cooperation and good neighbourhood 2021”.

  6. Only authorized employees of the Ministry of Foreign Affairs have access to the data. 

  7. The data is protected under the provisions of the RODO and may not be shared with third parties not authorized to access the data, and will not be transferred to a third country or international organization, subject to point 8).

  8. Personal data may be transferred to third parties, in particular to: authorized under applicable law, including courts and other state authorities, providing, on the basis of a contract concluded with the Ministry of Foreign Affairs, IT, communication, auditing and evaluation services.

  9. Personal data will be stored until the completion of the public task  and its settlement, and after its completion for archival purposes, in accordance with the provisions of the Act  of July 14, 1983 on the national archival resource and archives (Journal of Laws 2020, item 164). 

  10.  The data subject shall have the right to control processing, as set out  in Articles 15-16 in particular the right of access to and rectification of the content of his/her personal data, and in Articles 17-19 of the RODO the right to erasure or restriction of processing, if applicable.  

  11. Data will not be processed in an automated manner that will influence  decisions that may produce legal effects or in a similar manner significantly  influence it. Data will not be subject to profiling.

  12.  The data subject shall have the right to lodge a complaint with the supervisory authority  to the following address: President of the Office for Personal Data Protection, 2 Stawki Street, 00-193 Warsaw.
